ZextAI is the AI services practice of Ayraa Informatics Inc. ("we", "our", "us"), based in Ontario, Canada. This policy explains how we collect, use, disclose and safeguard your information when you visit zextai.ca or use our services. Last updated September 2026.
1. Information we collect
Personal information: when you submit the audit request form we collect your name, company, role, email address, optional phone number, company size, industry, and whatever you tell us about the work you want to improve. We also record that you gave consent, the date and time you gave it, the IP address it came from, and the exact wording you agreed to, because Canadian anti-spam law requires us to be able to demonstrate consent. If you arrive from a link carrying campaign parameters, we record those so we know which channels are worth continuing. If you book a call, Cal.com collects your name, email address and chosen time directly.
2. How we use your information
To respond to enquiries and provide requested services; to prepare for a conversation with you; to comply with legal obligations and protect our rights; to understand how the website is used so we can improve it; and, only where you have consented, to send you occasional email about our services.
3. Data sharing and who processes it for us
We do not sell your personal information. We share it only with the service providers who operate this site on our behalf: our hosting and database provider, Resend for transactional and marketing email, Cal.com for booking calls, and a self-hosted Umami instance for website analytics. Each is used only for the purpose described and is subject to confidentiality obligations. We may also disclose information where required by law.
4. Cookies and analytics
This site sets no advertising or analytics cookies. Our analytics tool is cookieless by design and does not track you across other websites. Any cookies present are strictly necessary for the site or the administration area to function. Because we set no non-essential cookies, you will not be asked to accept a cookie banner here.
5. Email and unsubscribing
Every marketing email we send includes an unsubscribe link. Using it stops marketing email immediately and is recorded against your record. We may still reply to you about something you asked us about - that is a transactional message, not marketing, and Canadian anti-spam law treats it differently.
6. Data security
We implement industry-standard security measures including encryption in transit, access controls and restricted administrative accounts to protect your personal information. No method of electronic transmission or storage is completely secure, and we do not claim otherwise.
7. Data retention
We retain personal information only as long as necessary for the purposes set out in this policy or as required by law. Enquiries that do not become work are anonymised after 24 months. Records relating to work we did are kept as long as we need them for tax, contractual and professional obligations. You may request deletion of your data at any time.
8. Your rights
Under applicable Canadian privacy laws, including PIPEDA, you have the right to access the personal information we hold about you, request correction of inaccurate data, request deletion of your personal information, withdraw consent for data processing, and file a complaint with the Office of the Privacy Commissioner of Canada. Email us and we will respond within 30 days.
9. Third-party links
This website contains links to third-party sites, including government funding program pages. We are not responsible for the privacy practices of external websites and encourage you to review their privacy policies.
10. Children's privacy
Our services are not directed to individuals under the age of 18, and we do not knowingly collect personal information from children.
11. Changes to this policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date.
